Executive Assistant

We are looking for an executive assistant to support our Chief Executive Officer. You will manage personal and business related tasks for the CEO such as creating reports, organizing travel and accommodation, taking minutes, and other organizational tasks. To do this role properly you should have a detailed understanding of the productivity tools, be extremely fast at solving problems and have experience as an executive or administrative assistant in the past.

Roles & Responsibilities:

  • Maintain an accurate and detailed calendar for CEO, manage and log incoming scheduling requests, re-schedule meetings upon request, proactively communicate changes, and anticipate and respond to scheduling conflicts
  • Organize internal and external meeting for CEO, including logistical and substantive preparation
  • Track and monitor expenses report, reconciling monthly credit card statements and complete and submit expense reports in a timely manner
  • Accompany the CEO in meetings and act as the right hand, while taking minutes and supporting whenever the need arises.
  • Handling basic bookkeeping tasks.
  • Manage & Organize complex schedules, meetings, appointments, logistics and calendar of the CEO, which includes booking meetings, conference calls, travel & itineraries (domestic and international) including hotel accommodations, airline reservations, car rental, off-site meeting venues, coordinating logistics etc.
  • Filing and retrieving records, documents, and reports.
  • Researching and conducting data to prepare documents for review and presentation by boards of directors, committees, and executives.
  • Event planning & reservations including but not limited to restaurants and/or function rooms
  • Perform all other functions and activities as requested by the CEO on behalf of himself or the company


What we’re looking for….

  • Bachelor’s degree in Accounting, Finance, or a related field.
  • English Fluency required
  • Working experience as an Assistant Executive or a similar role.
  • Proficient in productivity tools.
  • Ability to think creatively and attentively.
  • Willingness to work independently as well as in a team environment.
  • Excellent oral and written communication skills.
  • Ability to meet deadlines and work as per the priorities.
  • Makati City: Reliably commute or planning to relocate before starting work (Required)


  • Executive Assistant: 1 year (Preferred)
